This article provides email templates that you can send to your employees to announce your partnership with TravelBank.

This email introduces users to the Commercial Rewards program and some of its features.

Basic email

Hello,

We are thrilled to announce that we have begun the process to move to a new credit card program, Commercial Rewards. This program combines credit card, travel, and expense management in an all-in-one platform powered by TravelBank. Commercial Rewards and TravelBank will make it easier to make payments, track and submit your expenses, and book business travel, saving you much-needed time and energy.

We plan to completely move from [old system or process] to the Commercial Rewards all-in-one platform powered by TravelBank by [date]. Look for additional updates as we get closer to the transition date.

Longer email

Hello,

We are thrilled to announce that we have begun the process to move to a new credit card program, Commercial Rewards, starting [date]. This program combines credit card, travel, and expense management in an all-in-one platform powered by TravelBank. Commercial Rewards and TravelBank will make it easier to make payments, track and submit your expenses, and book business travel, saving you much-needed time and energy.

You should have received an activation email from TravelBank with the subject line “You've Been Invited to Join...” If you don’t see the email, check your spam folder; if you didn’t receive the email, contact your company admin [admin at company's info]. Use the activation email to create your user profile and password.

Once you are logged in, update your profile by selecting “My Account” in the bottom-left corner of your menu. Here you can add your traveler information, such as your TSA precheck number and your loyalty/rewards programs.

Lastly, don't forget to download the TravelBank mobile app for receipt capturing and an easy way to book your travel.

Pilot program

This email should generate excitement and empower pilot users to help provide feedback while also allowing them to become power users for their peers.

Travel and expense

Hello,

We are excited to announce that we have selected to bring on TravelBank as our new travel and expense tool.

You have been selected to participate as a pilot user before we officially launch to the rest of the company. We have selected you to participate in this program because we believe you will be able to provide us with critical feedback to ensure a great user experience for the rest of your peers. The pilot will run from [date] to [date].

You should have received an activation email from TravelBank with the subject line “You've Been Invited to Join...” If you don’t see the email, check your spam folder; if you didn’t receive the email, contact your company admin [admin at company's info]. Use the activation email to create your user profile and password.

Your job as a pilot user:

  1. Log in as soon as possible through the TravelBank desktop app.

  2. Download the TravelBank mobile app to learn both experiences.

  3. Use the apps to familiarize yourself with booking travel and creating and submitting expenses.

  4. Test out forwarding email receipts from your business and personal email address.

  5. Provide timely feedback to [company admin’s email]:

    • Share any gaps that you see in the product, or anything that could use improvement.

    • Submit any feedback to [company admin's email] by [date].

As a pilot user, you can amplify your voice and act as a voice for your peers. You have the ability to help make this a successful launch.
