Learn about reimbursements

Purpose

This article describes the reimbursement journey from an end-user's standpoint, from submitting an expense for reimbursement to receiving a reimbursement.

Audience

This article is directed toward expense management end users using reimbursements.

Prerequisites

  • In order to receive reimbursements, you must add a bank account for reimbursements.

  • At an organizational level, your company administrator (admin) must have turned on reimbursements and added a company reimbursement bank account.

Understanding where my reimbursement is at

Once reimbursements are turned on for your organization, customers fund reimbursements through a “For benefit of” account before the reimbursement process begins.

After an expense report is submitted, there are four main stages in the reimbursement workflow, which are described in subsequent sections of this article.

Step 5 occurs if the reimbursement is not successful.

In the app, statuses show to describe when the reimbursement is scheduled, when the reimbursement is in process, and when the reimbursement is paid, as shown in the following Figure 1.

Step 1. Expense report approval

An expense report gets approved per the cutoff time based on the set reimbursement frequency of the policy. At this point the report enters the preprocessing window and appears in the app as shown in Figure 2.

Step 2. Funds are collected to fund the reimbursements: ACH debit pulls from the company account

The ACH debit gets triggered on the ACH process date, per the schedule.* At this point the reimbursement is in the processing window, and an employee can expect payment within two to five business days (Figure 3).

*Note that the reimbursement schedule set by your organization’s reimbursement policy identifies how frequently your reimbursement processing will begin, including the steps described in this article, not necessarily that reimbursements will be paid daily, weekly, semimonthly, or monthly. The average time for payout to an employee bank account once a reimbursement has started processing is two to five business days from the date it starts processing. This is shown by “scheduled for reimbursement <date>” under the expense activity history.

Step 3. Payment is sent to the employee: ACH credit is triggered to employee's bank account

At this stage, the expense report transitions from Payment Pending to Approved, which triggers the ACH credit process. When the payment is completed, the report status and activity history are updated with the final payment status.

Step 4. Employee receives reimbursement (Success state of payment)

The reimbursement will be paid 2 to 5 business days after the ACH process date. At this point it appears in the app as shown in Figure 4.

Step 5. Return of funds flow (Failed state of payment), releasing in August 2026

  • If the payment to employee bank account fails (refer to the subsequent section of this article to learn about common reasons of failure), the platform triggers a return of funds to send the money back to the company bank account.

  • With the return of funds workflow, failed payments reprocessing will no longer be allowed. Rather, if there is a failure in crediting an employee for a reimbursement, the expense report will be marked as Closed-Reimbursement Failed, and the return of funds to the company bank account will be initiated within 48 hours of the failure.

  • Employees, admins, and finance teams will be notified about the failed reimbursement via email. At this point, admins can direct employees to update their bank account information and resubmit the expense under a new report, or make the payment outside the platform.

  • This change provides admin and finance teams with clearer visibility into failed transactions and establishes a more consistent process for managing unresolved payments. It also gives organizations the flexibility to reimburse affected employees outside the platform and maintain a clear record of the original failure.

How can customers track the status of the failure?

Admins and finance users can track the failed reimbursement and return-of-funds progress in the Activity History of the affected expense report.

They can also use the Bank Reconciliation Report and Expense Export, which are being enhanced to reflect accurate statuses/progress states, to review reimbursement-related transactions on the company bank account.

Reasons for ACH failure and Return of Funds flow

Reimbursements can fail, or be put on hold, for any number of reasons. This failure guidance section focuses on ACH failures and reimbursement processing failures.

  • ACH debit failure/reimbursements on hold: A reimbursement on hold could be caused by an ACH debit failure, which can happen for several reasons:

    • invalid or incorrect bank details,

    • closed accounts,

    • restricted accounts (can’t receive ACH deposits),

    • account number cannot be located,

    • your organization didn’t whitelist the platform’s ACH ID, or

    • bank authorization issues.

      This could occur right before funds are pulled from the account or immediately after the payment is sent. When the failure occurs, the system automatically puts the organization into an on-hold state.

  • Bank Error: A Bank Error status appears when there is a failed ACH credit and the reimbursement has failed.

  • Closed - Reimbursement Failed, Return of funds: The Closed – Reimbursement Failed status can appear in several variations.

    • Closed - Reimbursement Failed, Refund to company is initialized: For this status, the reimbursement failed, the payment cannot be reprocessed, and your organization’s admin and finance admin have been notified. Funds will be returned to the company bank account, and the refund to company process has initialized. The refund is waiting to submit the transaction to ACH for processing.

      As shown in Figure 5, in the app, the following message appears: “The payment cannot be reprocessed. Funds will be returned back to the company bank account. Admin and finance admin have been notified.”

  • Closed - Reimbursement Failed, Refund to company is submitted: For this status, the reimbursement failed, the payment cannot be reprocessed, and your organization’s admin and finance admin have been notified. Funds will be returned to the company bank account, and the refund has successfully been submitted and is waiting for the platform’s response for confirmation. You can expect to see funds in the company bank account in two business days.

    As shown in Figure 5, in the app, the following message appears: “Refund to the company bank account initiated. Expect to see funds in company bank account in two business days.”

  • Closed - Reimbursement Failed, Funds successfully returned to company: For this status, the reimbursement failed, the payment cannot be reprocessed, and your organization’s admin and finance admin have been notified. The funds have successfully been returned to the company bank account.

    As shown in Figure 5, in the app, the following message appears: “Funds successfully returned to the company bank account.”

  • Closed – Reimbursement failed, Funds rejected by user bank account: For this status, the reimbursement failed, the payment cannot be reprocessed, and your organization’s admin and finance admin have been notified. The platform attempted to return the funds to the company bank account, but the reimbursement failed and the funds were rejected by the user bank account.

    As shown in Figure 5, in the app, the following message appears: “Return of funds failed back to company bank account. Admin/finance will be informed. Please contact Support.”

Expense export updates

Expense exports will now display more accurate reimbursement information for reimbursable expenses. The Paid Date, Reimbursement Date, and Report Status columns will reflect actual bank-confirmed transaction activity and align with the values displayed in the platform.

This enhancement improves reporting accuracy, reconciliation, and consistency between exported data and the user interface.

Updated export fields

  • Reimbursement Date: Represents the date funds were successfully withdrawn from your organization's bank account.

    • Populated only after a successful ACH debit.

    • Remains blank if the debit has not completed successfully.

  • Paid Date: Represents the date the employee successfully received reimbursement funds.

    • Populated only after a successful ACH credit.

    • Remains blank if the payment has not completed successfully.

  • Report Status: Reflects the current reimbursement outcome based on ACH processing status. Possible statuses include:

    • Paid

    • Reimbursement Scheduled

    • Reimbursement In Process

    • Bank Error

    • Closed

Bank reconciliation report updates

The Bank Reconciliation Report is being enhanced to provide greater visibility into employee reimbursement payments and returned funds. Four new columns will be added to help admins, finance teams, and business users track the complete lifecycle of ACH transactions associated with an expense report.

This enhancement enables more accurate reconciliation of funds leaving and returning to company bank accounts, while providing greater transparency into payment and recovery outcomes.

New columns

  • Credit to Employee Status: Displays the status of the ACH credit sent to the employee. Possible values include:

    • Success

    • Failed

  • If the employee payment is successful, no Return of Funds activity is required and the related Return of Funds fields will remain blank.

    • Purpose: Provides visibility into whether an employee reimbursement payment was successfully completed.

  • Credit to Employee Completion Date: Displays the effective date when the ACH credit transaction either succeeded or failed. This date matches the corresponding payment event shown in the Expense Report Activity History.

    • Purpose: Enables Finance teams to identify when an employee reimbursement payment was successfully completed or failed.

  • Return of Funds Status: Displays the status of the return-of-funds transaction back to the company bank account when an employee payment fails. Possible values include:

    • Completed

    • Failed

    • This field is only populated when Credit to Employee Status = Failed.

    • Purpose: Helps Admins and Finance users track the recovery of funds back to the company bank account.

  • Return of Funds Completion Date: Displays the effective date when the return-of-funds transaction was completed or failed. This date matches the corresponding event shown in the Expense Report Activity History.

    • Purpose: Provides a definitive completion date for auditing, reconciliation, and financial reporting purposes

Key notes

  • The report reflects the current state of reimbursement and Return of Funds processing at the time the report is generated.

  • Dates and statuses are aligned with the corresponding events shown within the Expense Report Activity History.

  • The report provides visibility into both outbound (employee payments) and inbound (returned funds) ACH activity associated with an expense report.

Frequently asked questions

What is the new (August 2026) process for failed reimbursement payments?

We are updating the reimbursement failure workflow to provide a more streamlined and transparent process when an employee reimbursement payment cannot be completed.

When a reimbursement payment fails, the platform will no longer attempt to reprocess failed payments to an employee’s bank account; instead, the corresponding expense report will be marked as Closed-Reimbursement Failed, and the return of funds to the company bank account will be initiated within 48 hours of the failure.

Admins will need to work with the employee to resolve the reimbursement, either by having the employee update their bank account information and resubmit under a new expense report or issue the payment outside of the platform.

Why is a new process for failed reimbursement payments being implemented?

The new failed reimbursement process provides admin and finance teams with clearer visibility into reimbursement failures and a more consistent process for managing unresolved employee payments. By returning funds to the company bank account—initiated within 48 hours of a failed payment—admins regain control of the funds, while maintaining visibility into the failed reimbursement record.

As an admin, what should I do if a reimbursement failure occurs?

If a reimbursement payment fails, admins, finance, and employees will be sent an email notification with details of the affected reimbursement. Admins will then need to coordinate payment to the employee outside of the platform, using your internal payment process.

Alternatively, you can ask your employee to resolve the bank account issue and request that they submit a new expense report to process in the next reimbursement cycle. The Bank Reconciliation Report can also be used to track the return.

How can customers track the status of the failure?

Admins and finance users can track the failed reimbursement and return-of-funds progress in the Activity History of the affected expense report.

They can also use the Bank Reconciliation Report and Expense Export to review reimbursement-related transactions on the company bank account.

We are also enhancing expense exports to provide more accurate reimbursement tracking and improve financial reporting. These enhancements include:

  • Paid Date and Reimbursement Date will now reflect the actual bank-confirmed transaction date rather than the ACH file processing date.

  • Report Status values have been updated to more accurately reflect the reimbursement state.

  • Exported data will now align more closely with shows in the application.

How will affected employees know the payment failed?

Affected employees will receive an email notification if their reimbursement payment fails. The notification directs employees to follow up with their company’s admin or finance team for payment resolution.

The Activity History of the expense report will accurately reflect the processing states of the reimbursements. Additionally, the expense report will be marked as Closed-Reimbursement Failed, for further visibility.

What are the most common causes for reimbursement failures when transferring funds to an employee’s bank account?

A failure can occur due to:

  • the account is closed,

  • the account number cannot be located, or

  • the account number is invalid.

We recommend the employee review their bank account information to resolve the issue and contact their bank if needed.
