This article is part of the Commercial Rewards Card free plan guide or Commercial Rewards Card paid plan guide, or both. You can navigate back to each guide with the previous links and take the next onboarding steps.

Purpose

This article explains how to earn company rewards points with TravelBank and what you can redeem your rewards points for.

TravelBank offers both company-level rewards and employee-level rewards. This article focuses on company-level rewards.

Audience

This article applies to Commercial Rewards Card organizations that are part of the Company Rewards Program. We also have an article for administrators about how to turn rewards on or off and adjust reward rates. This article is directed toward administrators with a free or paid TravelBank expense and travel management account.

Rewards overview

The Commercial Rewards Card Program has two types of optional rewards: personal rewards and company rewards. If your organization uses both rewards programs, employees with administrative (admin) or finance advanced permissions, or both, see both Personal and Company listed under the Rewards menu (Figure 1).

With company rewards, your company earns points based on the amount of spend on Commercial Rewards cards. Employees with admin or finance advanced permission, or both, can redeem the points earned.

Note that all gift cards are digital only; physical gift cards are not sent.

Earn rewards

With company rewards, each time an employee uses a Commercial Rewards card on a qualifying purchase, such as booking travel, an employee business dinner, or a business-travel-related expense, your company earns points.

View user permissions

Employees with admin or finance advanced permissions, or both, can view and redeem company rewards points.

View and redeem points

From the left navigation menu, select Rewards. If your company is using both personal rewards and company rewards, the Rewards option expands to show both. Select Company; this is where you can view and redeem the points your company has earned (Figure 2).

View your points

The Rewards page has two tabs, Browse and Rewards History, with the Browse tab as the default tab. On this tab the number of points your company has earned is displayed at the top-right side of the screen (Figure 3). Select the information icon for more information about your points (Figure 3).

Figure 3. Browse tab on the Company Rewards page with the Company Points information icon also outlined for emphasis

Figure 3. Rewards > Company Rewards page, Browse tab and Company Points information icon

The information icon content explains how to earn points, when points are deposited into your company’s account, who can view and redeem points, how to spend points, and when the points expire. This information is always available in the system for you to review as needed. Refer to your contract for additional details.

The Browse tab shows a list of items available via point redemption, such as Amazon, Target, or DoorDash gift cards. Each tile shows the gift card amount and the number of points needed to redeem for that gift card amount. The gift card amount and corresponding points needed are shown as either a dropdown list of values or a field where you can enter a specific amount, as long as the amount falls within the available range.

Redeem your points

To redeem points for a gift card, take the following steps:

  1. Select Redeem for # pts for the gift card of your choice. This brings up a redemption dialog (Figure 4) showing the dollar amount of the card, the number of available points, the number of points this item costs, and the remaining points after you select this card.

  2. Review the terms and conditions for your selected rewards and check the acknowledgement checkbox. The checkbox field is required for you to complete the redemption.

  3. Select Redeem for Myself to receive the gift card email yourself. Select Redeem as Gift to send it to another person’s email.

    • Redeem as Gift: After you select Redeem as Gift, complete the Share Prepaid Card dialog (Figure 5). Enter the email address of who should receive the card and confirm the email address. Add a message with the gift card if desired, then, select Send Gift. A confirmation message then displays letting you know that the gift card has been sent to the email address you entered. At this point TravelBank emails the recipient informing them of the gift card (Figure 6) and emails you with information about how the recipient can use the gift card. Both emails come from noreply@travelbank.com.

Note that all gift cards are digital only; physical gift cards are not sent.

View rewards points history

To view and track point information, select the Rewards History tab (Figure 7).

Figure 7. Rewards > Company Rewards page, Rewards History tab

The Rewards History tab shows a history of reward redemptions and earnings. Each transaction shows the date, type, details, user who redeemed points, and the points added or subtracted from the balance.

  • If a user redeems points as a gift card sent to someone else, the transaction type displays as “Gifted”. For these transactions, the Details column shows the email address of the gift card recipient.

  • If you, as an Admin, redeem an item yourself, then the transaction type displays as “Redeemed”.

You can sort the transaction list using the column headers. For example, you can sort by transaction type to put all of the points earned in one section and the points used in another (Figure 8).

Resend a gift card code

If the recipient of a gift card needs you to resend the code, take the following steps:

  1. Navigate to the Company rewards page and select the Rewards History tab.

  2. Find the gift card transaction for which you need to resend the code and select it. This brings up a transaction details dialog (Figure 9).

  3. Select Resend Code.
