Purpose

This article provides answers to questions you may have about your options and limitations when changing flights through TravelBank. (For step-by-step instructions on how to modify your flight, see our “Modify my flight” article.)

Audience

This article is directed toward all TravelBank users, including end users and travel and finance administrators.

What functionalities does the app support for flight modifications?

The TravelBank travel product allows you to book one-way, round-trip, and multi-city flights. Once you’ve booked a flight, you can manage several aspects of the reservation. Review the “Modify your flight from the mobile app” section of the “Modify my flight” article for more information.

Modifications for one-way flights

For one-way flights, you can make the following changes to existing reservations:

  • Different flights: You can exchange your flight for another flight.

  • Different dates: You can exchange your flight for a flight with an earlier date or a later date than your existing reservation.

  • Different routes: You can exchange your flight for a flight with a different origin location, different destination location, or both.

These modifications can apply to both refundable reservations and nonrefundable trips with an exchange value.

Modifications for round-trip flights

For round-trip flights, you have the same modification options as for one-way flights, but in addition to modifying outbound flights, you can also modify return flights, or both.

Modifications for multi-city flights

For multi-city flights, you have the same modification options as for one-way flights and round-trip flights, and for each city in your multi-city trip.

Modifications for flights with layovers/multiple legs

In addition to modifying individual flights, you can also cancel or modify a partial leg of a flight after you’ve completed the first leg.

For example, if you have a one-way flight from Los Angeles to New York with a layover in Chicago, after your first flight from Los Angeles to Chicago, you can modify your flight from Chicago to New York.

At that point, you can exchange for the ticket value of the remaining portion of the trip, and you have the option to change your route (that is, change your flight to a flight with a different origin location, different destination location, or both).

Will the approval flows apply to modified flights?

No, approval flows do not apply to modified flights.

For example, if your original flight costs $1,000 and is out of policy but is approved by your manager, if you now want to modify your flight to one that costs more than $1,000, the approval flow will not take effect.

Will users receive email notifications for the modified reservation?

Yes. When you modify a reservation, you receive an email notification with the new reservation details. On the backend, the flights are being exchanged, so the passenger name record does not change for the new flight.

What happens if there is a refund or surcharge due to the flight change?

If you modify your flight to a flight that costs less than your original flight, the difference resulting from the change (that is, refund) is automatically refunded to the form of payment you used for your original flight.

If you modify your flight to a flight that costs more than your original flight, the difference resulting from the change (that is, surcharge) is charged to the card of your choosing at the time of the change.

Note that some tickets can only be applied to equal to or higher fares. Also, you can change the first leg or any leg of an itinerary upon payment of any difference in fare.

Which airlines can be modified through the app?

All airline flights can be modified through the app.

Can users cancel or modify a partial leg or segment of a flight?

Yes. See the “Modifications for flights with layovers/multiple legs” section of this article for more information.

Can users change the route on the modification search page?

Yes. See the “What functionalities does the app support for flight modifications?” question for more information.

Can users change the airline on the modification search page?

No. You cannot change the airline when you modify a flight.

Can users change the type of trip (for example, one-way to round-trip) during the modification?

No. Although you can make modifications for each type of trip, you cannot change your trip type. For instance, if you originally booked a one-way flight, you cannot change the one-way flight to a round-trip flight.

Can users modify a trip to add or remove travelers?

No. You cannot add or remove travelers when modifying a trip.

Will expenses be automatically created for the modified flight?

No. Expenses are not automatically created for modified flights. Use email to submit a manual expense for modified flights.

Will calendars be automatically updated with the modified flights?

No. Your calendar will not automatically update with modified flight information.

What happens to the seats if a user changes the flight?

The seat gets forfeited and it does not move over to the new booking.

How many times can a user modify a flight?

It depends on the airline.

For United Airlines flights, you can modify your flight an unlimited number of times. For American Airlines flights, you can modify your flight up to three times.

In some cases, for domestic carriers and destinations, you can change your route free of charge, with the exception of Spirit, Allegiant, and Frontier. Note that the cost of changing or canceling a flight depends on the specific details of an airline's policy, which varies by airline. Refer to your booked airline’s policy for information specific to your flight.

However, for international destinations, airlines may charge for changes per segment and a cancellation fee depending on the fare class of the ticket.

In addition, some airlines require rescheduling and ticket reissuance at the time of the cancellation of the flight segment, or changes can only be done up to two hours before departure time.
